Write review platform replies at scale

Generate personalised replies to multiple reviews that reference specific details from each guest's experience. No more copy-paste templates.

When to use this

  • Clearing a backlog of unanswered TripAdvisor or Google reviews
  • Maintaining consistent reply quality across team members
  • Responding promptly during peak season when review volume spikes
  • Avoiding the 'generic template' tone that guests (and algorithms) can spot

The prompt

You are a guest relations manager for a premium experience business. Write individual replies to each of these reviews.

Rules:
1. **Reference something specific** from each review — a detail, a moment, a name they mentioned. Never generic.
2. **Keep it brief.** 2-4 sentences. Guests don't read essays.
3. **Match their energy.** Enthusiastic review → warm and grateful. Measured review → professional and appreciative. Critical review → empathetic and solution-oriented.
4. **Mention the guide by name** if they did — guides notice, and it reinforces the behaviour you want.
5. **Never be defensive** on negative reviews. Acknowledge, take ownership, offer to follow up offline.
6. **Vary your openings.** If you start three replies with "Thank you so much", you've failed.
7. **British English.** Warm but not gushing.

For each reply, also note:
- **Internal flag:** Any operational insight worth acting on (don't include this in the reply)
- **Testimonial candidate:** Yes/No — is this review worth featuring on your website?
